About the Role
As a Team Coordinator, you will be crucial in ensuring the effective coordination and supervision of campus facilities, specifically in cleaning, general work, and waste management. You will manage supervisors, team leaders, and general cleaners, delegating duties and ensuring high standards of service delivery.
What You’ll Do (Key Responsibilities)
People Management:
- Oversee and supervise daily activities of work teams to achieve set goals.
- Coordinate and implement learning and development for team members, including on-the-job training.
- Manage working schedules for the Cleaning, General Work, and Waste Management unit.
- Ensure strict adherence to Occupational Health and Safety Regulations.
- Complete administrative documents for record-keeping and staff management.
- Implement and monitor cleaning work schedules/checklists according to university standards.
- Build and maintain strong client relationships, communicating regularly.
- Conduct regular inspections of buildings, offices, outside areas, and residences with supervisors.
- Ensure necessary equipment is available and that asset repairs are done efficiently.
- Communicate effectively with management and cascade feedback to all team members.
- Oversee the appropriate use and maintenance of equipment (brooms, mops, vacuums, etc.).
- Coordinate overtime according to UJ policy and processes.
- Manage employee performance through the university’s Performance Management system.
- Address inquiries and complaints from internal and external stakeholders.
- Maintain up-to-date job-related records.
- Supervise the care and distribution of usable materials.
- Estimate costs, manpower, and time for effective service delivery.
- Prepare job specifications and provide weekly service delivery reports.
- Requisition and control supplies and equipment.
- Coordinate and participate in the operation of power equipment.
- Coordinate the recycling of waste material.
- Manage employee relations issues in line with UJ policy, escalating as needed.
- Coordinate training plans in collaboration with HCM.
- Participate in delegated projects.
Maintenance:
- Ensure proper use and maintenance of equipment and store materials securely.
- Maintain an accurate asset register.
- Report any deficiencies or repair needs to the manager.
Litter and Waste Clearance:
- Coordinate and supervise the removal of waste material from campus buildings and grounds.
Compliance & Health and Safety:
- Understand and implement university Health and Safety policy and emergency fire procedures.
- Report faulty appliances, damaged equipment, or potential hazards.
- Promote safe working practices.
- Ensure employees wear appropriate uniforms and protective clothing.
- Secure all equipment, machinery, and buildings.
- Keep tool sheds/mess rooms clean and tidy.
Minimum Requirements
- Education: Diploma (NQF 6) in Facilities Management.
- Experience:
- At least three (3) to five (5) years of Facilities Management experience.
- Three (3) years of supervisory experience.
- Licence: A valid Code 8 Driver’s Licence.
Required Competencies & Behavioural Attributes
- Excellent written, verbal, listening, and interpersonal communication skills.
- Strong organisational skills.
- Ability to work on own initiative and self-motivated.
- Friendly personality and a smart, presentable appearance.
- Proficiency in PowerPoint presentation, supervisory skills, and employee relations.
- Report writing skills.
- Computer literate in MS Office (Outlook, Excel, Word).
- Experience with Oracle and Iproc systems is beneficial.
