As an intern, you will join the Registrar’s division, specifically within Student Academic Services, contributing to vital functions that support thousands of students.

About the Internship Programme

This is a full-time internship, requiring 40 hours per week, for a contract period of 2 years. We are looking for 15 enthusiastic and dedicated individuals to join our team across the Bloemfontein, Qwaqwa, or South Campus. Please specify your preferred campus in your application letter.

What You’ll Be Doing (Duties & Responsibilities)

As an intern, you will play a crucial role in supporting various student academic services. Your responsibilities will include:

  • Assisting with data entry, documentation, and processing of student records across five sub-departments.
  • Providing general support for student academic services such as enrolment and academic record maintenance.
  • Supporting communication with students via email, phone, or in-person regarding administrative queries.
  • Assisting the Enrolment Administration sub-department with the admissions process for all faculties.
  • Helping with student enrolment operations for new and returning students.
  • Maintaining accurate student academic records, transcripts, and certificates in the system.
  • Supporting the preparation of academic progress reports and identifying students eligible for qualification awards.
  • Assisting with examination processes and providing support during examination periods.
  • Helping to prepare for graduation ceremonies, including verifying graduation information and related activities.
  • Assisting with scheduling processes for class and examination timetables in PeopleSoft Campus Solutions.
  • Providing support for coordinating academic venue bookings and curriculum data management.
  • Ensuring adherence to university policies, procedures, guidelines, and decisions.
  • Verifying the accuracy and completeness of documents and ensuring quality assurance of documents and responses.
  • Resolving queries and ensuring customers/stakeholders receive timely feedback or updates.
  • Supporting data validation and reconciliation processes to identify and resolve discrepancies in student records.
  • Monitoring data entry and record-keeping practices to maintain data integrity and quality.
  • Coordinating with stakeholders to resolve data quality issues and ensure proper documentation.
  • Participating in quality assurance workshops, meetings, training, and departmental/divisional meetings.

Who Should Apply (Requirements)

To be considered for this internship, you must meet the following inherent requirements:

  • You must hold a National Diploma or Advanced Certificate (NQF Level 6) in one of the following relevant fields: Administration, Office Administration, Administrative Management, Public Management, Business Management, Business Administration, Communication, Public Relations, Computer Sciences, Computer Information Systems, Data Management, or Project Management.
  • You must not currently be participating in an existing learnership or internship programme.
  • You should not have any previous formal work experience.
  • You must be willing to sign an internship agreement with UFS.

Recommendations:

Basic computer literacy, especially with Microsoft 360 and related Microsoft software, is recommended.

Salary and Important Dates

Salary: A fixed amount of R9,100.50 per month.

Assumption of Duties: As soon as possible.
