About the Role

The University Relations Division plays a strategic role in shaping UJ’s public image and engaging with stakeholders. Events are a powerful tool used by the university to build relationships, position its brand, and showcase its achievements. As an Events Coordinator, you will be responsible for the seamless planning, execution, and evaluation of various university events, contributing significantly to UJ’s strategic objectives.

Key Responsibilities

  • Lead effective event planning, clearly defining the event’s purpose, target audience, desired outcomes, timelines, formats (in-person, virtual, hybrid), and themes.
  • Develop comprehensive project plans to guide all event activities from start to finish.
  • Manage financial resources, negotiate with vendors, and ensure cost-effectiveness while maintaining high quality, always adhering to allocated budgets and financial processes.
  • Plan, manage, execute, and evaluate a variety of UJ’s corporate and ad-hoc events.
  • Ensure all events comply with relevant legislation and university statutes, including Disaster Management protocols.
  • Stay informed about current trends and environmental developments in events management to ensure innovative and relevant approaches.
  • Oversee all logistical aspects, including venue selection, transportation, catering, equipment setup, staffing, pre-inspection, and on-site event management.
  • Provide expert guidance to UJ Faculties and Departments on event management processes and procedures, in line with university Standard Operating Procedures (SoP).
  • Cultivate and maintain strong relationships with internal clients, external stakeholders, and suppliers.
  • Consult closely with relevant stakeholders throughout the event planning and execution phases.
  • Offer strategic advice to the Procurement department on selecting the best possible suppliers.
  • Advise relevant departments on effective promotional strategies for events, within the scope of the initial brief.
  • Identify potential risks associated with events and collaborate with the risks team to develop robust contingency plans for smooth implementation.
  • Conduct thorough post-event assessments, including feedback collection, Return on Investment (ROI) analysis, and comprehensive reporting to gauge success.

Minimum Requirements

  • A relevant Degree/B.Tech (NQF 7) in Events Management, Hospitality, Administration, or Project Management.
  • A minimum of two (2) to three (3) years of experience in marketing, brand, event, and project management roles.
  • Familiarity with event and project management practices within a marketing environment.
  • High proficiency in MS Office Suite and design collaboration tools.

Recommendations

  • An Honours degree in Event/Hospitality Management or Project Management, combined with demonstrated previous experience, would be a distinct advantage.

Work Location

This position is based at the Doornfontein Campus.
