The University of Johannesburg (UJ) is looking for a dedicated and dynamic Academic Coordinator to join the School of Consumer Intelligence and Information Systems within the College of Business and Economics. This permanent position, based at the Auckland Park Bunting Road Campus, is vital for driving project success and managing stakeholder relationships within the School.

About the Role
As the Academic Coordinator, you will provide leadership and excellent coordination for various projects within the School, focusing on engaging with both internal and external stakeholders. You will be instrumental in ensuring projects meet strategic objectives, timelines, and budgetary requirements while upholding UJ’s policies and practices.
Key Responsibilities
Project Leadership & Stakeholder Engagement:
- Lead and coordinate all School projects, especially those involving internal and external stakeholders.
- Develop and maintain strong relationships with stakeholders.
- Efficiently manage projects to meet deadlines and budget constraints.
- Ensure projects align with the School’s strategic goals and UJ policies.
Project Coordination & Relationship Management:
- Create and execute strategies to build positive relationships with key stakeholders.
- Serve as the main contact for external partners, managing expectations and communication.
- Ensure effective coordination between different school departments and centers.
- Organise stakeholder meetings and events to gather feedback and promote teamwork.
- Identify opportunities for stakeholders to participate in school initiatives.
- Provide regular updates and reports to stakeholders on school activities.
- Oversee all projects within the School, ensuring successful completion.
- Develop, monitor, and adjust project plans, timelines, and budgets.
- Coordinate project teams and external partners.
- Prepare status reports, memos, and updates for the Director and other key stakeholders.
- Ensure compliance with project management processes (documentation, risk management, quality assurance).
- Manage all partnership agreements, including vetting and approval processes for Service Level Agreements (SLAs) and Memoranda of Understanding (MoUs) through the UJ system.
Administrative Support:
- Provide essential administrative support to the Director’s office.
- Handle temporary appointments, ensuring completion and payments.
- Liaise with clients for timely invoice payments.
- Process claims on the Oracle Requester System.
- Assist students with programme-related queries.
- Coordinate procurement of office supplies, equipment, and furniture.
- Conduct research for key engagements and meetings.
- Manage and disseminate information to relevant people and departments.
- Facilitate interaction with research partners (university, business, government).
- Compile reports, presentations, and external communications for the Director.
Minimum Requirements
- A relevant Diploma in Project Management or a related field.
- At least three (3) years of proven experience in stakeholder engagement.
- Experience in event management.
- Experience with digital marketing campaigns.
- Familiarity with the Oracle system and procurement processes.
- A valid driver’s licence.
- Demonstrated experience in project coordination and management.
- Proficiency in project management tools and methodologies.
- Previous experience in stakeholder management and project coordination roles.

Recommendations (Advantageous)
- A Degree (NQF 7) in Project Management or a related field.
- Evidence of effective external engagement (academia, business, professional boards, wider society).
- Knowledge of university systems, structures, policies, and procedures.
- Relevant work experience in a university environment.
- Project management skills and experience.
- Strong presentation skills.
- One to two years of relevant work experience in a service-related industry.
- Fundraising experience.
- Social media management experience.
- Familiarity with UJ policies and procedures.
