The University of Johannesburg (UJ) is looking for a dedicated and organised Administrative Officer to join its Postgraduate School (UJPS). This is a permanent, full-time position based at our Auckland Park Kingsway Campus. About the Postgraduate School (UJPS)
The UJ Postgraduate School plays a crucial role in balancing international best practices with UJ’s unique requirements, supporting the university’s strategic goal of global excellence. This is a fast-paced environment that requires excellent financial planning, strong organisational skills, and the ability to build good relationships at all levels. You will be instrumental in managing bursaries and scholarships, providing essential support to postgraduate students, postdoctoral fellows, staff, and funders, while maintaining high levels of confidentiality.
Key Responsibilities
As an Administrative Officer for Postgraduate Support, your main duties will include:
- Efficiently allocating, awarding, and replacing postgraduate fellowships and bursaries.
- Ensuring timely allocation and payment of all bursaries.
- Adhering strictly to the Postgraduate Fund Management Policy, guidelines, and procedures.
- Ensuring compliance with all governance requirements.
- Facilitating internal and external audits effectively.
- Building and maintaining strong relationships with various stakeholders, including students, staff, and external funders.
- Identifying and managing networking opportunities.
- Verifying, validating, and nominating applicants for funding.
- Managing contractual processes, including reviews and renewals.
- Preparing clear and concise reports for internal and external use (e.g., NRF).
- Performing general administrative tasks efficiently.
- Organising and participating in workshops for various stakeholders.
- Providing continuous support through meetings and consultations.
- Authorising refunds in line with Student Finance processes.
- Coordinating all communications to internal and external clients.
- Implementing policies and procedures related to NRF and other bursaries.
- Providing ad-hoc support within Postgraduate Fund Management (PFM).
Minimum Requirements
To be considered for this role, you must have:
- A relevant National Diploma (NQF Level 6) in Finance or an equivalent qualification.
- At least three (3) to five (5) years of relevant experience working with postgraduate students and various stakeholders.
- A minimum of three (3) years of experience specifically with NRF funding and other bursary management.
- Proficiency in Microsoft Office 365.

Recommendations (Advantageous)
The following will be a strong advantage:
- A Degree (NQF 7) in Finance.
- Experience working with international individuals or students.
- Knowledge of Oracle and ITS systems.
- Additional experience with a wide range of bursaries.
