Are you an experienced administrative professional looking to make a significant impact in a dynamic higher education environment? The University of the Western Cape (UWC) invites applications for a dedicated Administrative Officer to join its Student Development and Support (SDS) team in Bellville, Western Cape.

This pivotal role supports the Office of the Deputy Vice-Chancellor: Student Development & Support, reporting directly to the Manager: Student Governance & Co-curricular Programmes. You will play a key part in fostering a holistic and enabling environment for students to achieve their full potential.

What You’ll Do (Key Responsibilities)

Your main duties will involve supporting various student development initiatives, with a particular focus on the Media Society and the Co-curricular Record Programme. Key responsibilities include:

  • Serving as Secretary to the Board of Directors of the Media Society, handling agendas, minutes, and follow-up actions.
  • Coordinating external engagements for the Media Society with partners, broadcasters, and other professional bodies.
  • Contributing to the planning and operation of a student radio station, including ensuring compliance.
  • Supporting student development initiatives by identifying training needs and assisting with the implementation of training programs.
  • Organising and overseeing workshops, meetings, and events across various media streams (radio, print, digital).
  • Liaising with training providers, collecting feedback, and supporting continuous improvement of training activities.
  • Administering the Co-curricular Media Platform, managing student applications, engagements, and tracking participation.
  • Acting as Secretary to the Media Panel, ensuring confidentiality, meticulous documentation, and adherence to timelines.
  • Assisting with the review and implementation of policies and guidelines related to media training, ethics, and student involvement.
  • Administering and coordinating the Co-Curricular Record Programme, ensuring the accuracy and integrity of all student submissions.
  • Verifying applications and supporting documentation in line with institutional criteria.
  • Communicating with students and referees to clarify or supplement motivation statements or documentation.
  • Compiling and presenting verified lists of co-curricular activities for review and approval.
  • Liaising with the Chair to finalise and issue Co-Curricular Transcripts and Certificates to eligible students.

Who We’re Looking For (Requirements)

Minimum Qualifications & Experience:

  • A National Certificate or Higher Certificate (NQF Level 5) with at least 3 years of administrative experience, preferably in a higher education or student development environment.
  • OR a Senior Certificate with more than 5 years of administrative experience in a higher education or student development setting.

Advantageous Skills:

  • Demonstrated experience in event coordination, stakeholder engagement, and media training.

Key Competencies:

  • Exceptional administrative and organisational skills.
  • Excellent written and verbal communication abilities.
  • Proven ability to work independently and effectively as part of a team.
  • Familiarity with student development principles.
  • Proficiency in digital platforms and tools (e.g., MS Office, Google Workspace).
