About the Role
As a GPS Hub Reception Intern, you will be the welcoming face of the GPS Hub, providing essential administrative and front-line support. This is a 1-year contract appointment within the Career Services unit, offering you practical experience and a solid foundation for your professional journey. This position is ideal for those who are organised, enjoy interacting with people, and possess strong communication skills.

What You’ll Do (Duties & Responsibilities)
Your main responsibilities will include:
- Receiving parcels and sorting incoming mail efficiently.
- Circulating important communications to GPS Hub staff.
- Maintaining and updating the GPS Hub staff list and administration (telephone, birthdays).
- Managing and filing records, including visitor logs and office key management.
- Ensuring the reception area runs smoothly, coordinating lunch breaks and leave.
- Coordinating venue bookings for shared spaces within the GPS Hub and Modlec meeting venues.
- Collaborating with CTL/Student Affairs administrative support as needed.
- Coordinating the sign-in/out process for central GPS Hub keys and issuing keys to staff.
- Welcoming all visitors, directing them to the correct offices or venues, and managing visitor sign-in/out.
- Providing first-line support for general GPS Hub enquiries.
- Interacting with students and staff to provide and gather information.
- Handling general telephone and email communication.
Who We’re Looking For (Requirements)
Minimum Requirements:
- A B-degree on NQF Level 7 in Office Management, Business Administration, Public Administration, Communications, or Human Resources Management.
Important Selection Criteria:
To be eligible for this internship, candidates must meet the following criteria:
- You must NOT currently be participating in another learnership or internship programme.
- You must NOT have any previous formal full-time work experience.
- You must be willing to sign an internship agreement with UFS.
Recommendations / Preferred Skills:
- Good organisational skills and the ability to manage events/processes effectively and independently.
- Proven computer skills, including proficiency in MS Outlook, Word, Excel, and PowerPoint.
- Ability to work effectively with others and possess strong interpersonal skills.
- Ability to work well under pressure.
- Excellent communication skills, both written and verbal.
