Are you an experienced academic administrator looking for a permanent role at a leading South African university? The University of Johannesburg (UJ) is seeking two dedicated Faculty Officers to join the Faculty of Education at its Soweto Campus.

About the Role

As a Faculty Officer II, you will play a crucial role in managing the academic journey of both undergraduate and postgraduate students within the Faculty of Education. This permanent, skilled position requires strong administrative expertise to support students from their initial application through to graduation and beyond. Please be aware that, in accordance with recent amendments to the Criminal Law (Sexual Offences and Related Matters) Amendment Act 2021, all prospective employees will be assessed against the National Register for Sex Offenders (NRSO).

Key Responsibilities

Your main duties will involve tasks across the entire student academic life cycle, including:

  • Supporting marketing and enrolment initiatives for students.
  • Managing student applications and registration processes.
  • Overseeing student assessment procedures and monitoring academic progress.
  • Coordinating graduation ceremonies and related administration.
  • Providing support to university alumni.

Who We’re Looking For (Minimum Requirements)

To be successful in this role, you should have:

  • A relevant Diploma or Certificate at NQF Level 6.
  • At least 3 years’ experience in academic administration, specifically managing undergraduate and postgraduate student life cycles (marketing, enrolment, applications, registrations, assessment, graduation, and alumni support) within a higher education environment.
  • A minimum of 3 years’ experience in managing or coordinating a wide range of administrative and executive support tasks in a higher education setting.
  • At least 3 years’ experience with Integrated Tertiary Software (ITS), HEDA, Perceptive Content, Application Ranking System (ARS), MS Access, and Oracle.
  • A minimum of 2 years’ experience in managing committee administration.
  • Advanced computer skills and proficiency in MS Office.

  • Excellent time management skills and the ability to multi-task effectively in a high-pressure environment.
  • Ability to work independently, exercise sound judgment, and maintain confidentiality.
  • A proven track record of successfully managing projects from conception to completion.
  • Demonstrated proactive approaches to problem-solving with strong decision-making capabilities.
  • Ability to coordinate and facilitate committee meetings efficiently.
  • Excellent communication skills (written and verbal) with high proficiency in English and at least one other official South African language.
  • Social perceptiveness and the ability to handle conflict situations diplomatically.
  • Ability to work under pressure in a multi-campus environment.
  • A proven track record of strong organisational skills and meticulous attention to detail in academic administration within a higher education environment.
  • Competency to foster an ethos of care and a preferred student experience.
  • A versatile team player who will excel within a higher education environment.

Recommended Skills and Experience

Candidates with the following knowledge and experience will have an advantage:

  • Knowledge of and experience with bursary finance budgets and bursary allocations.
  • Knowledge of Faculty Higher Degrees Processes and associated committee administration.
  • Knowledge and experience in managing the student life cycle of carousel model online qualifications.
  • Knowledge of and experience managing timetable related procedures within a higher education environment.
  • Extensive knowledge of UJ academic regulations, policies, and business processes.
