About the University Relations Division

The University Relations Division at UJ is key to shaping the university’s public image, reputation, and how it connects with people. It manages all university communications, external engagement, brand strategy, event planning, and public relations. Events are crucial for building strong relationships with stakeholders, positioning UJ, and showcasing its achievements and talents.

Your Role as Marketing Coordinator II

As a Marketing Coordinator II, you will play a vital role in enhancing UJ’s reputation and brand visibility. Your main responsibility will be to coordinate various marketing, communication, and event management activities, ensuring they align with the university’s strategic goals. You’ll be involved in events from the very start of planning right through to post-event reviews.

Key Responsibilities

  • Effectively plan events to achieve their desired benefits and outcomes.
  • Define event purpose, target audience, desired results, timelines, formats (in-person, virtual, hybrid), and themes.
  • Create detailed project plans to guide all event execution activities.
  • Manage financial resources, negotiate with vendors, and ensure cost-effectiveness while maintaining high quality.
  • Work within allocated budgets and follow budget processes.
  • Plan, manage, execute, and evaluate UJ’s corporate events (both planned and ad-hoc).
  • Ensure all UJ events comply with relevant legislation and regulations, such as Disaster Management.
  • Stay updated on the latest trends and developments in event management.
  • Arranger venues, transportation, catering, equipment setup, and staffing for events.
  • Conduct pre-inspections and manage events on-site.
  • Guide UJ Faculties and Departments on event management processes and procedures (Standard Operating Procedures – SoP).
  • Build and maintain strong relationships with internal clients, stakeholders, and suppliers.
  • Consult with relevant stakeholders for each event.
  • Advise the Procurement department on the best ways to source suppliers.
  • Advise relevant departments on promoting events within the given brief.
  • Identify potential risks and work with the risks team to develop contingency plans for smooth event implementation.
  • Assess event success through feedback, Return on Investment (ROI) analysis, and post-event reporting.

Minimum Requirements

To be considered for this exciting role, you should have:

  • A relevant Bachelor’s degree (NQF Level 7) in Administration, Hospitality, Event Management, or Project Management.
  • Two (2) to three (3) years of proven experience in Marketing, Brand, Event, or Project Management roles.
  • Familiarity with key issues and practices related to event and project management within a marketing environment.

Highly Recommended

A qualification in Event or Hospitality Management, or Project Management, along with demonstrated relevant experience, will be a strong advantage.
